How RepSave works

RepSave automatically sends review requests to your customers after each job, appointment, or payment. Happy customers are directed to leave you a review on Google. Unhappy customers are intercepted privately — their feedback goes to you, never public.

Three simple steps

The whole process is automated — you don't need to do anything after the initial setup.

Your first review request

After completing onboarding, you're ready to send your first review request.

If you're on manual trigger

  1. 1Open your manual trigger link (in your welcome email)
  2. 2Enter your customer's name and email
  3. 3Hit Send — your customer receives the email

If you're on an automated trigger

Your trigger fires automatically after each booking or payment. No action needed from you. If you haven't connected your trigger yet, see the Connecting Your Trigger section below.

Finding Your Review URL

Your review URL is the link you send customers to so they can leave you a review. Here's how to find it for each platform.

Google (most common)

Option 1 — From Google Business Profile:

  1. 1Go to business.google.com and sign in
  2. 2Select your business
  3. 3Click Ask for reviews in the Home tab
  4. 4Copy the link shown

Option 2 — From Google Search:

  1. 1Search for your business name on Google
  2. 2Find your Google Business listing on the right
  3. 3Click Get more reviews
  4. 4Copy the link

Your Google review URL will look like one of these:

Trustpilot

Calendly

Connect Calendly so RepSave automatically sends a review request after each appointment ends.

Your webhook URL

Your personal webhook URL is in your welcome email. If you can't find it, contact hello@repsave.co.uk.

Steps to connect

  1. 1Log in to Calendly
  2. 2Go to Integrations → Webhooks
  3. 3Click New Webhook
  4. 4Paste your webhook URL
  5. 5Select event: invitee.created
  6. 6Click Save
Testing: Complete a test booking using your own email address to confirm the connection is working. You should receive a review request email at the delay you selected during onboarding.

Acuity Scheduling

Connect Acuity so RepSave fires automatically after each new appointment is scheduled.

Steps to connect

  1. 1Log in to Acuity Scheduling
  2. 2Go to Integrations → API
  3. 3Click Webhooks → Add Webhook
  4. 4Paste your webhook URL (from your welcome email)
  5. 5Select event: appointment.scheduled
  6. 6Click Save
Testing: Make a test appointment to confirm the webhook fires. Contact hello@repsave.co.uk if you have any issues.

SimplyBook.me

Connect SimplyBook so RepSave fires automatically when a new booking is added.

Steps to connect

  1. 1Log in to SimplyBook.me
  2. 2Go to Custom Features
  3. 3Enable the Webhooks feature
  4. 4Go to Manage → Webhooks → Add Webhook
  5. 5Paste your webhook URL (from your welcome email)
  6. 6Select event: booking_added

Stripe

Connect Stripe so RepSave sends a review request automatically after every successful payment.

Steps to connect

  2. 2Go to Developers → Webhooks

  4. 4Paste your webhook URL (from your welcome email)
  5. 5Select event: payment_intent.succeeded
  6. 6Click Add endpoint
Privacy: RepSave never sees or stores your customers' card details. Stripe handles all payment data — we only receive the customer's name and email to send the review request.

GoCardless

Connect GoCardless so RepSave fires automatically after each successful payment.

Steps to connect

Square

Connect Square so RepSave fires automatically after each completed payment.

Manual trigger

Your manual trigger link is in your welcome email. Bookmark it on your phone — it's the quickest way to send a review request after any job.

To send a review request

  1. 1Open your manual trigger link
  2. 2Enter customer name (optional) and email address
  3. 3Tap Send Request
  4. 4Done — your customer receives the email
The manual trigger is available on all plans and is included as a backup even if you use an automated trigger.

How to send a manual request

Open your manual trigger link (in your welcome email), enter your customer's name and email, and tap Send Request. RepSave instantly sends them the review request email.

We recommend adding the link to your phone's home screen for quick access after every job.

Tip: On iPhone, open the link in Safari and tap Share → Add to Home Screen. On Android, use Chrome and tap the menu → Add to Home screen.

Understanding the feedback form

When your customer clicks the link in the review request email, they see a simple feedback form.

They choose one of three options:

  • Great — redirected to leave a Google review on your business profile
  • It was okay — shown a thank you message (no public review)
  • It wasn't great — asked what went wrong (privately, never posted publicly)

If the customer doesn't respond within 48 hours, one polite reminder email is sent automatically. Nothing more after that.

What happens with negative feedback

If a customer selects "It wasn't great":

  1. 1They're shown a simple private feedback form
  2. 2Their response is sent directly to you Growth & Pro
  3. 3Nothing is posted publicly
  4. 4You can follow up with the customer directly
On the Starter plan, negative feedback is recorded but you are not emailed an instant alert. Upgrade to Growth or Pro to receive instant notifications.

Your plan and pricing

RepSave offers three plans:

  • Starter — £19/month — manual trigger, negative intercept, 48hr follow-up
  • Growth — £34/month — everything in Starter plus automated triggers, instant alerts, monthly report
  • Pro — £59/month — everything in Growth plus detailed monthly report, weekly summary, priority support

Annual plans save 2 months vs monthly billing (Starter £190/yr, Growth £340/yr, Pro £590/yr). Contact hello@repsave.co.uk to switch to annual billing.

The founding rate guarantee

Early subscribers lock in their price forever. Your rate at sign-up is yours for life — even if we raise prices for new customers later.

This guarantee applies to the plan you signed up on. Upgrading to a higher plan moves you to the current price for that plan.

How to cancel

To cancel your subscription, contact us at hello@repsave.co.uk. We will process your cancellation within 24 hours.

Your access continues until the end of your current billing period. We offer a 7-day money-back guarantee on your first payment — email us within 7 days for a full refund.

Upgrading your plan

To upgrade from Starter to Growth or Pro, contact us at hello@repsave.co.uk and we'll update your plan the same day.

Not receiving review request emails

If your customers aren't receiving emails:

  1. 1Ask them to check their spam or junk folder
  2. 2Confirm the email address is entered correctly
  3. 3Check your trigger is set up correctly (see the Connecting Your Trigger guides)
  4. 4Contact hello@repsave.co.uk if the issue persists

Webhook not firing

If your automated trigger isn't working:

  1. 1Check your webhook URL is pasted correctly in your booking or payment platform
  2. 2Ensure the correct event type is selected (e.g. invitee.created for Calendly, payment_intent.succeeded for Stripe)
  3. 3Complete a test booking or payment to trigger it
  4. 4Contact hello@repsave.co.uk with the platform name if still not working
Your webhook URL is unique to your account. Never share it publicly. If you suspect it has been compromised, contact us for a replacement.

Customer didn't receive the email

  1. 1Confirm the email address entered is correct
  2. 2Ask the customer to check their spam or junk folder
  3. 3Wait up to 5 minutes — there may be a short delivery delay
  4. 4Contact hello@repsave.co.uk with the customer email address and we'll investigate

Wrong business name showing

The business name shown in review request emails is set during onboarding. To update it, contact hello@repsave.co.uk with your new preferred business name and we'll update it within 24 hours.

What data RepSave stores

RepSave stores the following customer data on your behalf:

  • Email address
  • First name (if provided)
  • Feedback responses
  • Review request timestamps

All data is stored securely in the EU. We do not sell or share your data with third parties.

Customer consent

You are responsible for ensuring you have your customers' consent to contact them by email. By using RepSave, you confirm you have a legitimate interest or consent basis under UK GDPR for sending review request emails.

For most service businesses, legitimate interest applies — you have a genuine business reason to follow up after providing a service. If you are unsure, consult a legal professional or the ICO website.

Data retention policy

Customer data is retained for 3 months after your RepSave subscription ends, then permanently deleted from our systems.

While your subscription is active, customer data is retained indefinitely to support your account and reporting. You can request deletion of specific records at any time — contact hello@repsave.co.uk.

How to request data deletion

To request deletion of all data associated with your account (including all customer records), contact hello@repsave.co.uk with the subject line "Data Deletion Request".

We will process your request within 30 days in line with UK GDPR requirements and confirm by email once complete.
